Now that 2019 is here, we thought it would be helpful to suggest a few clean-up items you can do to freshen your Manage It (MI) and Get It Done (GID) accounts and start off the new year with a clearer mind (and app).
Tips to prepare your account for 2019
(GID) Organize your tasks into Focus Areas - We heard you! From popular demands, we created two new Focus Areas to help organize your tasks: Waiting for and Reference. Check them out!
(GID+MI) Delete completed tasks - This is a great way to free up more space and make your MI and GID apps run faster.
(GID) Clean house by wiping away all your data and starting clean. New Year, new tasks.
(GID) Schedule a Task * so that it will appear in your Today folder when the time is right. Read more below.
(GID+MI) Archive projects * - Bring in the new 2019 projects and archive the old 2018 projects.
(MI) Star a task! - This is a great way to flag the important items to focus on.

Organize your tasks into Focus Areas
One of the ways to keep organized is to empty your Inbox daily or at least weekly. If the task is something that can be done really quick (~2 minutes), just do it and don’t bother filing it. Everything else needs to be filed so that you can remain focused on Today‘s tasks.
We have 7 different Focus Areas to help you organize your “to-do’s”.
Inbox - This is your dumping ground for all tasks that come up during the day.
Today - These are tasks you can realistically accomplish today.
Next - These are tasks you will tackle tomorrow or very soon.
Scheduled * - These are tasks that have repeating rules or are scheduled since they are time-critical.
Someday - These are tasks that you want to do but are currently not a priority.
Waiting For * NEW* - These tasks are waiting for something else and can’t be acted on just yet. Leave them here to keep your other folder clean and gives you a place to check. For example: you can keep a “Pick up medicine” task here while you wait for the doctor to order the prescription and call you back.
Reference * NEW* - These are tasks that may not require action but contain information you want to reference later. For example: you can keep a “Call allergist” task that you’ve already completed since it contains notes and comments that might be useful someday, such as when you have to call again or go to an actual appointment.
Delete completed tasks
After a year of checking things off and getting things done, it’s time to clean up the completed tasks. We’ve built a tool to sweep your completed tasks into your Trash folder. (NOTE: If you haven’t done this in a while, this may take a few minutes):
Get It Done
- Go into your Today folder so you can see your task list
- Tap on the 3 vertical dots button on the bottom right corner of the screen.
- Tap on Move completed tasks to trash… (NOTE: If you haven’t done this in a while, this may take a few minutes):
- Choose OK to the confirmation dialog!
Now you can see all your completed tasks in your Trash folder and feel good about all the work you’ve done.
Manage It
- Select “Projects“ in the left column.
- Choose the project that you want to delete the completed tasks.
- Filter your tasks by changing “All” to “Completed”
- Select the wrench icon button at the top of the task list and choose “Delete completed tasks“:
- Confirm the deletion:
This cannot be undone. Any subtasks will also be deleted. A record of the deletion will be listed in the Activity log, however the details of the tasks will no longer be available.
Clean House
Here comes 2019! Want to start again with a clean slate? We get busy and forget about the app. Now it’s overloaded with a ton of tasks that’s just not relevant anymore. What better way to begin 2019 by wiping out your data and starting fresh again.
NOTE: This step cannot be undone. We recommend backing up your data by exporting your tasks into a spreadsheet.
To clear out your data:
- Go to the Import/Export button on the bottom right corner
- Choose Import from old Get It Done…
- Click on the Delete all data in this app button
Schedule a Task *
Got a time-sensitive task you can’t miss? Schedule it! When you schedule the task, it will automatically appear in your Today folder on the date of your choosing. This is a great way to declutter your Focus Areas and make sure you don’t miss the important tasks. Give it a try!
From the web browser:
- Drag the task into the Scheduled folder
- Choose the date when you want the task to show up in your Today folder.
After that, on the date you selected in step 4, that task will appear in your Today folder. To read more about this feature, check out the support article.
Archive Projects *
This is a great time to archive 2018 projects. Archived projects get hidden from the Projects view and can be unarchived at a later time.
Manage It
- Go to your Projects view (where all the projects are listed).
- Near the top, go to Edit Projects.
- Click on the project of interest.
- Choose one of the following options and follow the directions on screen.
Get It Done
- Go to the Add/Edit Project under your Project list.
- Click on the project of interest.
- Choose one of the following options and follow the directions on screen.
Star a task
Ever wonder what that star is for?
If you’re working with more than 2 person on a Manage It project, it can get tricky to filter out the tasks you should be working on. First, your tasks will be assigned to you so that helps. But what if you have a ton of tasks? How can you flag a handful that you will focus on today?
Well, just star it! The star is an easy way to flag the tasks that need your immediate attention for today. It gets filtered out into a special list when you go into your “My Work” tab.
This star can only be seen by you and no one else on your team. This way, everyone else can decide which task they want to star.
